## How are law firms using AI?

Law firms use AI mainly for the repetitive work around the legal work, which frees billable hours. In a firm of 3 to 30 people, a large part of the week goes on answering enquiries that are not a fit, asking clients for the same documents twice, copying details from a letter into the practice management system and checking limitation dates by hand.

These tasks follow clear rules and come in high volume, so they automate well. Case analysis, strategy and the client relationship stay with you. The AI works before and after you: it hands you an organised file and warns you about what is due.

## Which law firm tasks can you automate?

These return the most hours, from simplest to most complete:

- **Consultation scheduling**: the client picks a slot in the right lawyer's calendar, receives the engagement letter and pays a retainer if you ask for one.
- **Document collection**: the system asks the client for what is missing (ID, contracts, payslips, title deeds), chases outstanding items and files each document in the right matter.

- **Deadline tracking**: reads the court notices and e-filing alerts you receive, calculates the due date under the applicable rules and puts it in the responsible lawyer's calendar with advance reminders.
- **Drafts of letters and emails**: starts from your templates and the matter file to prepare demand letters, routine correspondence or client updates, which a lawyer reviews before sending.

## Can AI do legal research?

AI can help you search and summarise, but every citation must be verified. General-purpose models invent cases and statutes with total confidence, and courts in several countries, including the US and the UK, have sanctioned lawyers for filing briefs with fabricated authorities.

So when we build a research assistant, we limit it to sources you control: your own brief bank, your opinions and the decisions you download from your legal research database. The assistant always answers with a link to the source document so you can check the text before you use it. If it finds no support, it says so. This technique is called [RAG](/en/glossary/rag), and it is what cuts down invented answers.

## How do you protect attorney-client privilege?

Privilege and confidentiality shape the design from day one. We apply these rules in every law firm project:

- We use AI providers under a data processing agreement that do not train their models on your data.
- We choose EU or UK hosting when the matter calls for it, or models hosted on your own infrastructure for the most sensitive files.
- Each automation accesses only the folders and data it needs, with a log of who queried what.
- The agent that talks to prospective clients gives no legal advice: it collects details, explains fees and books meetings.

Bar bodies such as the ABA in the US and the SRA in England and Wales have published guidance on lawyers using AI: competence, confidentiality, supervision and client communication. We build to those principles, and your own regulator's rules take precedence. Anyone talking to an agent should also know it is an AI, and we configure that by default.

## Which practice management software does it work with?

We integrate with the practice management system you already use, as long as it has an API or can export and import data. Common choices include Clio, MyCase and PracticePanther, plus Microsoft 365 or Google Workspace for email and documents. When a system has no API, we work through email, shared folders or scheduled exports.

## A day in a law firm with AI

An employment law firm of eight people in Manchester starts Monday with 14 new enquiries from the weekend. The agent has already spoken to all of them: nine are unfair dismissal or wage claims within the firm's scope, three concern other areas and got a polite referral message, and two did not reply. The nine each have a file, initial documents and a proposed appointment.

At 9:30, six court notices arrive. The system reads them, identifies the proceeding, calculates the deadlines and alerts each responsible lawyer. One opens a five-working-day window and shows up in red.

In the afternoon, an associate asks for a summary of 80 pages of documents from a new client. She gets a timeline with dates, amounts and page references. She checks it, corrects one figure and prepares her strategy. This scenario is illustrative: every firm has its own volume and split of work.

### How much does AI cost for a law firm?

It depends on how many processes you automate, which systems they connect to and your matter volume. ### Is it safe to use ChatGPT with client data?

With the free version and identifiable data, it is not advisable: you do not control where the data is processed or whether it is used for training. With enterprise or API access, a data processing agreement, suitable hosting and minimised data, it can be compatible with GDPR, UK GDPR and your duty of confidentiality.

### Can AI draft pleadings or contracts?

It can prepare a first draft from your templates and the matter data. That saves typing and structure time, but a lawyer reviews and signs it. We do not automate legal decisions or the filing of documents without review.

### What happens if the AI invents a case?

That is why we limit research assistants to sources you control and require every answer to cite its source document. If there is no source, the assistant says so. Any citation that goes into a filing still has to be checked by a lawyer.

### Does it work for a solo practitioner?

Yes, and often the effect is bigger. A solo lawyer loses many hours to phone calls and chasing documents. An agent that screens enquiries and books meetings, plus a document collection flow, is usually the first step with the best return.
