What can AI do in a medical office or dental clinic?

It can do the front-desk work that repeats all day. In a dental or physiotherapy practice with two or three treatment rooms, reception answers the phone, takes payments, books appointments, calls to confirm tomorrow's and replies to messages, all at once. When a patient is at the counter, the phone keeps ringing and the caller rings another practice.

How does AI reduce patient no-shows?

It reduces them with reminders on the channel the patient actually uses and an easy way to change the appointment. A generic SMS gets ignored; a WhatsApp message that says 'Tomorrow at 10:30 you have your check-up with Dr Patel. Reply 1 to confirm or 2 to change it' gets an answer.

If the patient asks for a change, the agent offers open slots and reschedules in the diary immediately. If they cancel, the system alerts waiting-list patients for that visit type. What about health data, HIPAA and GDPR?

Patient data is heavily regulated: protected health information under HIPAA in the US, and special category data under GDPR and UK GDPR in Europe and the UK. We handle it with maximum care. These are the rules we apply in every clinic project:

  • The agent asks only for the data needed for the appointment: name, contact, visit type and clinician.
  • We use AI providers that sign the required agreement (a business associate agreement for US practices, a data processing agreement in the EU and UK), keep data in the right region and do not use it to train models.
  • Clinical information arriving through forms goes encrypted to your practice management software and does not stay in the AI tool.
  • The patient knows they are talking to an automated assistant and can ask for a person.

The AI gives no clinical advice. If a patient describes a symptom, the agent does not assess it: it offers an appointment, hands over to staff or, if it seems urgent, tells them to call emergency services (911 in the US, 999 in the UK, 112 in the EU).

Which practice management systems does it work with?

It integrates with the software you use if it offers an API or access to the diary. In dental practices, common systems include Dentrix, Open Dental and Eaglesoft in the US, and Software of Excellence (SOE) or Dentally in the UK. In other specialties we work with general-purpose medical scheduling tools and patient booking platforms. When a system does not allow writing to the diary, the agent can propose the appointment and leave it pending confirmation by reception. We review this in the diagnostic call before quoting.

A Tuesday in a dental clinic with AI

A dental clinic in Denver with three treatment rooms and two front-desk staff receives around 90 calls a day. At 9:05, four come in at once. Reception takes two; the agent takes the other two. One is a first orthodontic consultation: the agent offers Thursday or Friday and books Friday at 5:00 pm. The other is a patient with toothache since yesterday: the agent asks nothing more about the pain, offers the open emergency slot at noon and alerts reception.

In the afternoon, the system sends 60 reminders for Wednesday. Five patients ask for a change and are rescheduled automatically. Two cancel; their slots go to the waiting list and one is filled in 20 minutes. This scenario is illustrative and does not describe a specific client.
