Which parts of the sales process can you automate?

All the ones that are not a conversation with the customer. In most small companies, a rep spends a large part of the week copying data, looking up information and remembering whom to call. These are the pieces we automate:

  • Capture: web forms, a WhatsApp AI agent, email, portals or trade-show lists, all into the CRM with their source.
  • Enrichment: industry, size, website, job title and LinkedIn profile from an email or company name.
  • Scoring: a score based on your ideal customer and interest signals, with an explanation of why.
  • Follow-ups: email or WhatsApp sequences that stop when the lead replies.
  • Meetings: proposed slots and booking in the assigned rep's calendar.

How do you automate a CRM without filling it with junk?

Automating a badly configured CRM just produces more useless records, faster. So we start with hygiene: deduplication rules, required fields, pipeline stages with clear criteria and an owner for every lead.

After that, the AI keeps things in order. After each call or meeting, it reads the transcript or email and updates the stage, estimated value, next action and date. Once a week it detects stalled deals, incomplete records and duplicates, and alerts the owner. The rep reviews instead of filling in.

Example: an installation company that answers quote requests too late

An HVAC installation company receives quote requests through its website, by phone and on WhatsApp. Each rep logs contacts their own way, some in the CRM and others on their phone. Many quotes go out and nobody calls back.

With the automated workflow, each request enters Pipedrive with its source, installation type and postcode. The AI scores the lead by job size and area, and assigns it to the rep for that area. If the lead has no site visit within 24 hours, the system sends a WhatsApp link to pick a slot. After the visit, the rep dictates notes in an audio message and the AI prepares the draft quote with the current price list. If the customer doesn't respond, two spaced follow-ups go out and, at the third with no reply, the deal is marked lost with its reason. If your first contact arrives by phone, we combine it with the AI receptionist.

HubSpot, Pipedrive or Salesforce: which one should you automate?

The one your team already uses, unless it does not work. All three have full APIs and their own automation. HubSpot includes powerful workflows on its higher plans; sometimes the most profitable move is to configure properly what you already pay for. Pipedrive is simple and popular with small companies, and we extend it with n8n for what its built-in automation doesn't cover. Salesforce fits larger teams and complex processes.

FAQ

Frequently asked questions

How much does CRM automation cost?

The cost depends on the number of workflows (for example lead capture and enrichment, or automatic follow-ups), the channels and the systems to connect. A complete funnel project usually has two to four workflows, and an agent that talks to leads on WhatsApp or by phone adds scope. We budget per phase with a fixed price agreed before we start.

Don't automated follow-up emails feel cold?

They feel cold when they are generic templates. The AI writes each follow-up using what it knows about the lead (industry, what they asked for, what was discussed), and the rep can review the first ones before you switch them to run without review.

Is it legal to enrich leads with data from the internet?

Yes, within limits. In B2B you can process professional contact data under legitimate interest, informing the person and honouring their right to object under GDPR. Cold email rules differ by country: the US CAN-SPAM Act allows it with opt-out, while the UK PECR and several EU countries restrict it, and we design sequences accordingly.

What is the difference from HubSpot's own automations?

HubSpot's native automations work with the data already in HubSpot. We connect what sits outside (WhatsApp, ERP, billing, enrichment tools) and add AI to read emails, transcripts and notes.

Can AI qualify leads on its own?

It can score them and ask the qualifying questions on WhatsApp, chat or email. Dropping an important lead is a decision best left to the rep, at least until you have checked for a few weeks that the scoring is accurate.

What is the best AI sales automation tool?

There is no single best tool. HubSpot, Pipedrive and Salesforce all ship AI features, and standalone tools cover outreach or enrichment. We usually combine your CRM with n8n and a language model, so you keep your CRM and add only what is missing.
