What does an AI receptionist actually do?

An AI receptionist does what the person at your front desk does on the phone, except it handles several calls at once and never clocks out. When someone calls, it greets them with your business name, works out what they need and acts on the rules we define with you.

The usual tasks:

  • Book, move and cancel appointments in Google Calendar, Outlook or the booking software you already use.
  • Answer frequent questions: opening hours, indicative prices, address, parking, what to bring.
  • Screen and transfer calls to the right person, or take a message when nobody is free.
  • Send confirmations and reminders by WhatsApp or SMS with the date, time and location.
  • Log every call in your CRM or a spreadsheet with name, reason, outcome and a recording or transcript.

How is an AI receptionist different from voicemail or a phone menu?

Voicemail stores a message that someone has to listen to and return. A phone menu makes customers press keys, and many hang up before they reach the option they need.

An AI receptionist holds a conversation. A caller says "I need to move my Thursday appointment to next week, afternoon if possible" and the agent finds a slot, offers it and confirms it in the same call. If the caller asks something outside your company's information, the agent says so, takes a note and alerts your team instead of improvising.

Compared with an outsourced human answering service, the AI costs less per call and has no hold queues. The trade-off is that we have to define the limits well: what it can decide alone and what must go to a person. Technically it is one of the AI agents we build, specialised in voice.

Example: a dental practice with two chairs and a phone ringing mid-treatment

Picture a dental practice with two dentists and one assistant who also answers the phone. During treatments nobody can pick up, and missed calls turn into patients booking with the practice down the road.

With an AI receptionist, the flow looks like this. A patient calls at 1:40 pm to book a cleaning. The agent asks whether they are an existing patient, finds their record by phone number, checks the practice management calendar and offers two slots. The patient picks Tuesday at 5:00 pm. The agent creates the appointment, sends a WhatsApp confirmation with the address and schedules a reminder 24 hours before.

If another patient calls with severe pain, the agent follows the emergency rule the practice set: it transfers the call to the on-call mobile or, if nobody answers, sends an instant alert with a summary. How much does an AI receptionist cost?

The cost has three parts. Setup is budgeted per phase with a fixed price agreed before we start, and depends on your integrations (calendar, WhatsApp, CRM) and call flows. Maintenance covers tuning, conversation reviews and information updates. Usage on the voice platform is paid directly to the provider and depends on call minutes, plus the AI model and the phone number.

Is an AI receptionist right for a small business?

It fits best when calls follow patterns: booking, rescheduling, opening hours, pricing questions, basic triage. Clinics, dental and physio practices, salons, trades, law firms, restaurants and property managers are typical cases, because they miss calls while staff are busy with clients.

It fits less well when nearly every call is a unique, high-stakes conversation, such as complex sales negotiations. There the agent still helps by taking messages and qualifying the caller, but a person handles the substance. What about privacy and telling callers they are talking to an AI?

The AI receptionist introduces itself as a virtual assistant at the start of the call, as the EU AI Act requires, and the caller can ask for a person at any moment. If you record or transcribe calls, the agent says so and we set up the legal basis under GDPR or the equivalent rules where you operate, including call-recording consent in US states that require it.

We choose providers with EU servers or data processing agreements whenever possible and limit what the agent can read from your systems: if it only needs to see free slots, it does not get access to medical history or billing data.

Can I keep my current phone number?

Yes. The usual setup is a call forward from your current number to the agent: always, only after hours or only when the line is busy. You do not need to change carrier or tell your customers anything.

Does an AI receptionist sound like a robot?

No. Current voices sound natural, allow interruptions and reply in under a second. We choose the voice and tone with you, and the agent always introduces itself as a virtual assistant to stay within the rules.

What happens when the AI receptionist doesn't know the answer?

It follows the rule you set: it transfers the call to a person, takes a message or promises a callback. In every case you get an alert with a summary, so nobody has to ask the caller to repeat themselves.

Which calendars and booking systems does it work with?

It works directly with Google Calendar and Outlook, and with most booking and practice management tools that have an API, such as those used by clinics, salons and garages. If your software has no API, we check it in the first phase and look for a workaround.

Can an AI receptionist speak other languages?

Yes. The agent detects the caller's language and can answer in English, Spanish, French, German and other common languages. This helps hotels, clinics with international patients and businesses in tourist areas.
