Which accounting tasks can you automate with AI?

You can automate the tasks that repeat with every client and every quarter: recording purchase and sales invoices, classifying expense receipts, reconciling bank transactions, asking for missing documents and reminding clients of deadlines. In a firm of 5 to 25 people, these tasks take up a large share of the team's day in close weeks.

Current AI reads documents in different formats without fixed templates, so it works with the large supplier's invoice and with the crumpled fuel receipt. The accountant reviews what the system flags as doubtful.

What can bookkeeping and accounting firms automate first?

Ordered by how quickly you notice them in the day-to-day:

  • Invoice and receipt capture: the client sends them by email, WhatsApp or a shared folder; the AI extracts supplier, date, net amount, tax rate and total and prepares the entry for your accounting software. See invoice automation.
  • Bank reconciliation support: matches statement lines against open invoices and proposes the match; the accountant confirms the ones the system is unsure about.
  • Document collection: before each close, the system asks every client for what is missing, reminds them of pending items and tells the accountant who is still silent.
  • Deadline calendar per client: automatic reminders for VAT, sales tax, payroll and year-end filings according to each client's setup, with the list of what you need from them.
  • Answers to recurring questions: an assistant replies by email or WhatsApp to queries like 'can I claim this expense?' or 'when is my VAT due?' using the guidance you approved, and passes anything non-routine to an accountant.
  • Payroll inputs: reads starter forms, leave and change notices sent by clients to prepare the month's payroll.

Does it work with QuickBooks, Xero and Sage?

Yes, by whatever route each product allows. QuickBooks Online and Xero have open APIs and let us create contacts, bills and journals directly. Sage offers APIs in its cloud editions and file import in desktop versions, using a defined format that we generate automatically. Receipt tools such as Dext can stay where they are: we can work with them or replace part of their job.

If you use another package, such as FreeAgent, Zoho Books or a client's ERP, the logic is the same: we extract the data, validate it and hand it over in the input format the system accepts. In the diagnostic call we review your tools and tell you which route we would use before quoting.

What about client data confidentiality and tax rules?

An accounting firm handles tax, banking and payroll data of third parties, so AI must meet GDPR or UK GDPR, and applicable US rules such as the IRS requirements for tax preparers, just like the rest of your systems. We work with AI providers that sign a data processing agreement, do not train on your data and can process in the EU or UK.

Each automation also accesses only the data it needs and logs what it does. Agents that talk to clients do not give firm tax advice: they apply the guidance you have approved and refer the rest. A quarter-end week with AI

A bookkeeping practice in Leeds with 180 clients, from sole traders to small companies, enters the last week of the quarter. Ten days earlier, the system sent each client a list of pending documents. It had to remind 60 of them twice; for 15 it flagged a follow-up call because they were still silent.

The 2,300 invoices and receipts received have gone through automatic capture. Around 85% land in the accounting software after a quick check. The rest appear in a queue of doubts: unreadable receipts, invoices without a tax number or unusual VAT rates.

Meanwhile, the assistant has answered 70 WhatsApp queries about deadlines and documents. The team spends the week reviewing, balancing and talking to the clients who have something to decide. These figures are illustrative and vary with each client base.

Frequently asked questions

How much does it cost to automate an accounting firm with AI?

Does AI replace my accounting software?

No, it works in front of it. The AI reads and sorts documents and leaves the data ready for your accounting software, which remains where the books are kept and where returns are prepared.

Can AI file tax returns?

We do not do that. AI prepares data, drafts and reminders, but reviewing and submitting returns to the tax authority is done by an accountant at your firm. That way control and professional responsibility stay where they belong.

How is this different from the OCR in my receipt tool?

Classic OCR works well on invoices in known formats and fails on new formats or poor-quality documents. An AI model understands a document it has never seen, spots inconsistencies such as a wrongly calculated tax amount and explains why it flags an invoice as doubtful.

Is it worth it for a small practice?
