What is business process automation with AI?
It means connecting your company's tools so a task completes without anyone copying, pasting or retyping data. The AI part covers what used to need a person to read: understanding an email, extracting the data from a PDF invoice, classifying a support ticket or drafting a reply.
We work on business and office processes: admin, sales, customer support, purchasing and HR. We do not do industrial automation (PLCs, robotics or production lines).
Classic automation only works with perfectly structured data. AI workflow automation accepts how a real small business operates: invoices in different formats, customers who write however they like and spreadsheets everyone fills in their own way.
02Which processes can you automate?
These are the workflows we build most often, and the ones where savings are easy to measure:
- Supplier invoices: AI reads the PDF, checks amounts and tax IDs and creates the entry in QuickBooks, Xero or your accounting software. See invoice automation.

How much time does automating a process save?
It depends on volume. A process someone does 20 times a month rarely pays back; one repeated 300 times almost always does. Before we build anything we calculate the current hours, the cost to implement and the month you recover it.

04How do you prevent errors in an automated process?
Every workflow has validation rules and a confidence threshold. If the AI is unsure about a value (an amount that does not add up, a new supplier, an ambiguous email), the case stops and reaches a person with everything prepared, so they can decide in one click. That person approves, corrects or discards, and we add new rules every week during the first month based on those corrections.
We also log every run. If something fails, you know what happened, when and with what data, and the workflow alerts you instead of failing silently.

Frequently asked questions
How much does business process automation cost?
It depends on the number of workflows, the systems they connect and your volume. We budget per phase with a fixed price agreed before we start. Tools and AI usage are paid directly to the providers and for a small business usually land between €20 and €120 per month. To start with no commitment, book a free first call.
What is the difference between RPA and AI workflow automation?
RPA mimics a person's clicks on screen and breaks when the interface or format changes. AI workflow automation connects tools through APIs and uses language models to understand documents and text, so it tolerates variety much better.
Do I have to change my current tools?
Usually not. We connect what you already use: Gmail or Outlook, your ERP or accounting software, your CRM and your spreadsheets. We only suggest replacing a tool if it allows no integration and the cost of keeping it exceeds the cost of replacing it.
What happens if the AI gets something wrong?
The workflow detects low-confidence cases and sends them to review before anything runs. During the first month we review a sample of results with you and adjust the rules until the error rate drops below that of the manual task.
What is the best tool for AI workflow automation?
